The problem
Many quotes are lost simply because nobody followed up. It feels awkward, so it does not happen.
Step by step
- Decide your follow-up rhythm, for example after 3 days, 10 days and 30 days.
- Write down helpful things you could add: a photo of similar work, an answer to a common worry, availability.
- Ask the AI for three short messages, each with a different reason to reply.
- Save them as templates and set reminders.
The prompt
Write 3 follow-up messages for a quote from {business name} for {type of job} that has had no reply.
Message 1 after {days} days: check they received it and offer to answer questions.
Message 2: add something useful ({useful extra}).
Message 3: a polite close-out that leaves the door open.
Each under 80 words. Friendly, no pressure, no fake deadlines.
Replace the {highlighted} parts with your details, or fill them in with the prompt builder.
Check before you use it
- The quote details and dates are right.
- Tone is friendly, not guilt-tripping.
Privacy
- Templates do not need customer data. Add names when you send.
Do’s and don’ts
Do
- Follow up every quote, every time.
- Make each message useful on its own.
- Stop after the close-out message.
Don’t
- Invent a price rise to force a decision.
- Follow up daily.
- Send the same text three times.
When not to use AI for this
If a customer has said no, do not keep following up.
