AI tools are safe enough for most small business tasks if you choose the right plan and build a few habits.

Check the plan

Free and consumer plans may use your conversations to improve the service unless you opt out. Business and team plans of the major assistants generally do not train on your data by default. Read the current terms for your tool; they change.

Settings to look for

  • Training on your data: off.
  • Chat history and retention: how long conversations are kept.
  • Admin controls: who on your team has access.

Habits that help

  • Remove names, emails and numbers you do not need for the task.
  • Use initials or "the customer" instead of full names.
  • Never paste passwords, card numbers or ID numbers.
  • Keep health, legal and financial details out unless the tool is approved for them.

Contracts and regulated data

Health practices in the US generally need a business associate agreement before patient data goes into a tool. Businesses under GDPR should check the provider’s data processing terms. When in doubt, ask your adviser.
