For most small business tasks, the main AI assistants are all capable. The best choice usually depends on what software you already use.

What matters most

  • Fit with your tools. If your business runs on Microsoft 365 or Google Workspace, their built-in assistants can work inside your email and documents.
  • Data settings. Choose a plan that lets you turn off training on your data.
  • File handling. Can it read PDFs and spreadsheets you upload?
  • Projects or saved instructions. Being able to save your facts sheet and tone saves time.
  • Team features. Shared workspaces and admin controls if more than one person will use it.

How to test

Take one real task, for example a week of customer emails. Run the same prompt in two or three assistants on their free tiers, without personal data. Compare the drafts and how much editing they needed.

When to pay

If you will paste anything about customers or staff, or use it every day, a business plan is usually worth it for the data protections and higher limits. Check current pricing on each provider’s website; plans change often.
